PHP Agency, Inc. ("PHP Agency") is a life insurance Field Marketing Organization (FMO) with a two-part vision: change the culture and diversity of the insurance industry and build the world's largest insurance sales, marketing, and distribution company in history.

The company's licensed life insurance agents (1099s) operate from approximately 120 individually owned and operated offices located across the nation. PHP Agency is licensed in 49 states and Puerto Rico, has been profitable since inception and is headquartered in Dallas, TX.       

PHP Agency has grown at over 50% year-over-year for the past 3 years and now seeks to hire a Chief Operating Officer ("COO") to help scale the organization and manage our operations department (HQ Agency Back Office).

THE POSITION: COO

The COO a hands-on working position responsible for operational excellence of PHP's HQ back office teams, specifically new business life insurance and annuity application processing, agent licensing and carrier appointment.  The COO will be responsible for the development and deployment of operations transformation initiatives which include process improvement, staff education, operational design, analytics, and technology changes. These initiatives will be focused on serving the field sales organization. The leader will be invested in the overall growth and sustainability of PHP's life insurance and annuity business.

The COO will work with the CEO to support the field sales offices and their agents by building the teams required to scale capacity that deliver accuracy and efficiency.  The life insurance application flow nearly doubled from 2019 to 2020 and this growth is expected to continue in 2021 and 2022.  The HQ organization is fairly flat and, as such, this position will lead a small middle-management team, their team leads and the line staff.

This is a highly collaborative position that works closely with the company's field sales, corporate, IT, and HR executives. The COO will possess superior communication skills and must display comfort interacting with senior executives and demonstrate skills that will enable him/her to tailor even the most complex messages in clear, understandable, and convincing terms.

The COO will work closely with PHP Agency's senior leadership team including its CEO, CFO, and investors (board members). This is an excellent opportunity for an experienced VP or SVP of insurance back office operations (life & annuity application new business processing, etc.) with a BGA, IMO or FMO to step into a COO role.

POSITION FUNCTIONS: Not inclusive listing of all duties that will be required to be preformed

  • Partnering with leadership to develop and execute processes necessary to manage current HQ back office operations (new business, licensing, carrier appointments and in-force business) and projected growth.

  • Process the growing incoming policy count today using the available team and systems while simultaneously recruiting line staff and the leaders of tomorrow.

  • Identify and build team leads from the current line staff and recruit leadership line staff who have the potential to be grown into team leads and managers.

  • Monitoring, refining, and implementing operational processes within the agency management system (custom designed and developed by the company) to ensure standardization and consistency in all processes and sub-processes.

  • Developing policies and programs to promote HQ back office processing staff development, management succession, and performance improvement.

  • Identifies, recommends, and implements new processes, technologies, and systems to improve and streamline organizational processes and use of resources and materials.

  • Partner with all department leads to define and implement operations strategy, structure, and processes

  • Collaborates with executive leadership to develop and meet company goals while supplying expertise and guidance on operations projects and systems

  • Monitor performance and proactively identify efficiency issues and propose solutions

  • Maintain a working knowledge of all phases of agency back office operations

  • Presents periodic performance reports and metrics to HR, C-level Officers, and other leadership

  • Work with HR to handle discipline and termination of employees in accordance with company policy

  • Maintains knowledge of emerging technologies and trends in operations management

  • Identifies training needs and ensures proper training is developed and provided

  • Foster a success-oriented environment in Operations; motivate and work with all job levels while willing to be "hands-on" as necessary to lead by example

  • Work with the CEO, CFO, and CIO to develop the metrics, systems, and processes required to accommodate the growth objectives of the Company

  • Serve as a business leader of all PHP administrative functions with the opportunity, if successful, to lead Operations

QUALIFICATIONS, & EXPERIENCE: Includes but not limited to

  • Extensive experience (5+ years) in operational leadership, life insurance industry experience is a major plus

  • Prefer a Bachelor's degree in business, accounting, or a related field

  • Highly credible reputation and strong references from prior employers

  • Ability to set overall strategy and drive process improvement

  • Excellent oral and written communication skills

  • Proficiency in Microsoft Office Suite or related software

  • Ability to collaborate and serve as a thought partner to all department leads

  • Proven track-record of managing a team and developing talent within an organization
